The Glute Institute Privacy Policy

Effective date: Oct 7, 2026

Overview

The Glute Institute ("TGI," "we," "us," or "our") operates the website thegluteinstitute.com and provides physical therapy and wellness-based strength training services from our location in Herndon, Virginia. This Privacy Policy explains what personal information we collect when you visit our website, contact us, or book and pay for services, how we use and protect that information, and the choices you have.

By using our website or submitting information through our contact form or scheduling system, you agree to the practices described in this policy.

This policy covers our website and related booking tools. It is not a HIPAA Notice of Privacy Practices. TGI is not currently a HIPAA-covered entity because we do not bill health insurance electronically. If that changes, this policy will be updated and a separate Notice of Privacy Practices will be provided.

Information We Collect

Information you provide directly. When you fill out our contact form, you may share:

• Contact details (name, email address, phone number)
• The service you're interested in
• Your goals and any health background you choose to share
• The best times to reach you

Booking and payment information. When you schedule an appointment or purchase a package, our scheduling and payment platform (PTE) collects what's needed to book and bill you: name, contact details, appointment history, package selections, and payment details. Card information is processed by our payment processor and is not stored on our own servers.

Information collected automatically. Our site may log standard technical information, such as your IP address, browser type, device type, and pages visited, typically through cookies or similar technologies (see "Cookies and Website Analytics" below).

We collect only the health-related information you choose to share with us to help our providers understand your goals and prepare for your visit.

How We Use Your Information

We use the information we collect to:

• Respond to your inquiry and schedule your initial consultation or appointments

• Understand your goals, injury history, and activity level so our providers can prepare for your visit

• Process payments for services and packages

• Communicate with you about appointments, scheduling changes, and account matters

• Send marketing communications, such as newsletters, promotions, or service updates, when you've opted in (see below)

• Maintain, secure, and improve our website and services

• Comply with applicable laws and respond to legal requests

We do not sell your personal information.

Email & SMS Marketing Communications

With your consent, we may send you emails or text messages about our services, promotions, and practice updates.

• Opting in. You opt in to text messages by checking the applicable consent box on our forms. Non-marketing messages (such as inquiry responses, scheduling, and appointment reminders) and marketing messages each have their own consent box. Consent is not a condition of purchasing any service.

• Opting out. Unsubscribe from marketing emails anytime using the link in any email. Reply STOP to any text message to stop receiving texts from us; you'll receive one confirmation and no further texts unless you opt in again. Reply HELP for assistance. You can also contact us directly (see "Contact Us" below).

• Transactional messages. If you opt out of marketing, we may still contact you by email or phone with appointment reminders, billing notices, or other messages needed to provide services you've requested. If you reply STOP to our text messages, we will no longer text you.

• Message and data rates may apply to SMS. Message frequency varies.

• Your mobile information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. This excludes service providers that help us deliver messages, such as our messaging platform, which may access this information only to provide that service.

Cookies and Website Analytics

Our website may use cookies and similar technologies to remember your preferences, understand how visitors use the site, and improve the site experience. You can control cookies through your browser settings; disabling cookies may affect how parts of the site function. We do not currently use cookies to serve targeted third-party advertising.

Third-Party Service Providers

We work with third-party providers to run our website and business, including:

• Domain registration (GoDaddy.com)

• Website hosting, contact forms, lead management, and email/text messaging (gohighlevel.com), which hosts our site, stores information submitted through our forms, and sends our emails and text messages

• Scheduling and payment platform (PTEverywhere.com), which manages appointment booking, package plans, and payment processing

• Payment processor (Cardpoint.com), which securely processes card payments

These providers process information on our behalf and are restricted from using it for purposes unrelated to the services they provide us. We encourage you to review their own privacy policies as well.

How We Share Information

We do not sell or rent your personal information. We may share it:

• With the third-party service providers described above, to operate our website, scheduling, and payment systems

• With our staff and providers involved in your care, on a need-to-know basis

• If required by law, subpoena, or legal process, or to protect the rights, safety, or property of TGI, our clients, or others

• In connection with a business transfer, such as a merger, acquisition, or sale of assets, subject to standard confidentiality protections

• Text messaging opt-in data and consent are never shared with third parties, as described in "Your mobile information" above.

Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect, and we rely on our third-party providers (hosting, scheduling, and payment platforms) to maintain appropriate security for the systems they operate. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain personal information for as long as needed to provide services, maintain business and financial records, and comply with legal, tax, and regulatory obligations. Contact form submissions and client records are generally retained for the duration of the client relationship and a reasonable period afterward, after which we take reasonable steps to delete or de-identify the information.

Your Rights and Choices

Depending on where you live, you may have rights to access, correct, or request deletion of your personal information, or to opt out of certain uses. To exercise any of these rights, or to ask what information we hold about you, contact us using the information below. We will respond to verified requests within a reasonable time.

You may also opt out of marketing communications at any time as described above, and you can decline to provide certain information, though this may limit our ability to schedule your care or respond to your inquiry.

Children's Privacy

Our website is intended for adults seeking or arranging services for themselves or a dependent. We do not knowingly collect personal information directly from children under 13 through our website. If a parent or guardian believes their child has provided us information without consent, please contact us and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. We will post the updated policy on this page with a new effective date. Your continued use of our website or services after changes take effect constitutes acceptance of the updated policy.
